HOW TO USE ACTION CODES

The use of Action Codes in Digital Dispatcher is a quick and easy way to communicate information about a delivery from the field to the dispatch center, should the driver encounter something other than a normal delivery. This allows the dispatcher and CSR’s to have information about the delivery in front of them in real time. This help avoid disruptive calls to drivers in the field.

The first thing you want to do is to create a list of action codes that a driver would most likely encounter when making deliveries. Some examples would be that a gate was locked, or the driveway was covered with ice and could not get in to make the delivery. So your action code list could look like this:

1. Gate Locked
2. Ice in Driveway
3. Dog in Yard
4. No one Home
5. No Check In Door
6. Tank Full

Each number has a reason associated with it. Usually creating up to about 15 action codes covers most situations.

Once you have created all of the codes, it is a good idea to make small laminated cards as a quick reference for the drivers. The office staff should also get copies of the Action code table.

When a driver has the need to send back an action code, all he needs to do is to touch the field on the tablet app marked ACTION after he selects Get Delivery and then Proceed, the key board will open. Type in the number of the action and then select save at the bottom of the app. Select Check on the apps main screen and the delivery record will be sent back to dispatch.
